This Privacy Policy is provided by Greenredeem Limited, referred to within the policy collectively as “Greenredeem”, “we”, “us” and/or “our”. 

Greenredeem is committed to protecting our Users’ privacy. The following App Privacy Policy explains how and why we collect certain types of information, and how we act on your behalf to protect the privacy and security of that information.  

Below we provide insight into the types of information Greenredeem collects through our IOS and Android app (the “App”) and how we use it. In addition, this policy discusses the different programmes offered by Greenredeem independent of or through this App which comprise the Greenredeem Scheme and how User information is integrated into each User’s account with Greenredeem.

A – Information provided by you? 

To participate in the Greenredeem Scheme (which includes our home recycling programmes, water efficiency programmes and digital programmes) you first must become a Greenredeem User and agree to the Greenredeem Membership Agreement. Through this registration process, you provide us with: 

Personally identifiable information (“PII”) such as, but not limited to your name, address, age, and e-mail address. Submission of this information described above is entirely voluntary. By voluntarily providing us with your PII information, you are consenting to our use of it in accordance with this Privacy Policy which we use to verify your eligibility, enrol you in our scheme and personalised your experience.  

No financial information is ever requested from Greenredeem and both IOS and Android apps are free to download and use. 

B – Information collected by us 

Beyond the data collected during registration, no further PII is collected by us. All User actions on the site are stored as transactions against your account. We use an anonymised User ID so that we can link the 2 types of data to ensure that your PII is secured. These transactions allow us to see information such as the number of activities taken, points balance, points redemptions and estimated carbon footprint savings. These metrics are all displayed in your “My account” area to enhance your experience. 

C – Information provided about you from other sources 

Some of Greenredeem’s Schemes, such as the resident, water efficiency or employee Programme will provide Greenredeem with location data. This will include house number, Street address, town, postcode, and any other data related to your service. This information is encrypted and GDPR compliant and is not connected to a User account until the User registers on the site. Your details will not be shared with any other parties nor be used to contact you for any other reason. 

D – Customer Services 

We will collect information when you contact our Customer Services department via our Contact Form to appropriately respond to User enquiries.  

The information recorded will either be given by the User freely or gathered from responses made to the customer services team in line with responding to the User enquiry, and only used for that purpose. All calls to Greenredeem’s customer services are recorded for monitoring and training purposes. 

E – Why does Greenredeem collect information about you and how do we use it? 

5 data types collected from this app: Name, Email Address, Physical Address, User ID, Device ID. Below we will go into each one and how we use the data: 

1 – Name (Personalisation Data) 

This is collected to personalise your Greenredeem experience, from displaying your name on the welcome tour to addressing you personally in our weekly emails. 

2 – Email address (Functionality Data) 

This is collected to authenticate your account. To create an account, you will provide us with your email address and generate a secure password. This is so that you can login to your personal account and allow you to collect and spend points. If you have opted into email communication, this email address is used to send our weekly emails.  

3 – Physical address (Functionality Data) 

When you create an account, we ask for your postcode and house number. This allows us to show you the correct content related to your location. This address is stored and will be used if you order a physical reward or enter our monthly prize draw, allowing us to post the item to your address. 

4 – User ID (Functionality Data) 

On account creation, we will generate a User ID for you and link it to your User identity. This allows us to identify you uniquely across our app and website, ensuring accuracy in your data and activity. 

5 – Device ID (Functionality Data) 

When opening the App for the first time, you will see a popup that is from us requesting permission to access your Device ID. A Device ID is an anonymised string of numbers and letters that identifies your smartphone or device. This is optional, and you can accept or decline the request. The Device ID is used with Push Notification providers to send you communications if you have opted in, and to identify you uniquely across our apps and website. 

F – Email communication 

It is mandatory to subscribe to our email communications when creating a Greenredeem account. You can opt out of receiving our emails at any time from the “Email settings” tab within the “My account settings” section on your User dashboard.  

We use 5 global email types to give you full control of what you would and wouldn’t like to be contacted regarding. These are:

Whilst the mandatory opt-in at registration allows us to email you important updates, regarding your account and your data. This is mandatory as per our membership agreement. 

G – Push Notifications 

Push notifications are small, pop-up messages sent to a User’s device, usually with marketing copy and a link. Push notifications are optional and when opening the App for the first time, you will see a popup from us, requesting if you would like to receive push notifications. You can unsubscribe from push notification messages anytime, by visiting the “My account” screen. 

H – Who does Greenredeem share your information with and why? 

Greenredeem only shares information between its services/servers and third-party services for communication listed below. No other PII is shared, sold, or edited. 

I – What information is collected through integration with third-party services? 

Our customer services software (HubSpot) will collect information when you contact our Customer Services department via our contact form in order to appropriately respond to User enquiries.  

Our email communication partner (Sendgrid) is sent your email address, name and activity history via an encrypted API. This allows us to send our weekly communication which includes live activity data to enhance your experience.  

J – How can you change your Privacy Preferences or Account Information? 

At any point during your membership with Greenredeem, if you decide that you no longer wish to receive specific programme notices or messages, you can update your account profile and communication preferences at any time through the App or by contacting Greenredeem’s Customer Services department. 

We encourage you to keep your information held by us current and up to date. You can make corrections, updates or deletions to your account information by visiting the “My Account” Section of the App. 

K – Account deletion 

If, at any point during your membership with Greenredeem, you decide that you do not wish to take part in the programme, or app then you delete your account.  

We may periodically delete or de-identify inactive accounts or other data in our app, 

L – User access to information 

Users may at any time request a copy of all the information held regarding their relationship with Greenredeem as an account holder. Requests will be fulfilled within 1 calendar month and are free of charge. Please email Privacy@greenredeem.co.uk with a request of your data. 

M – Retention of data following cessation of membership to Greenredeem 

When a User opts to delete their account, all transactional/activity data relating to that account will be stored, but anonymised in such a way that it can no longer be attributed to a User. All PII User data is deleted immediately. This transactional information will then be stored in an anonymised state for 3 years for reporting purposes, beyond this, all data including transactional data will be permanently deleted.   

N – Updates to the Privacy Policy 

The App and our Rewards Programmes may change from time to time. As a result, it may be necessary for Greenredeem to make changes to this App Privacy Policy. We reserve the right to update this Privacy Policy at any time, with or without advance notice. In the event there are significant changes in the way we maintain and treat PII or the Terms and Conditions of this Privacy Policy, we will display a notice on our App or send you an email to inform you of these changes.  

If you object to this Privacy Policy or to any future update of this Policy or no longer wish to participate in the Greenredeem Scheme, you may close your account by contacting us or through the Account area of the App.  

Unless otherwise stated, this Privacy Policy applies to all the information we possess about you and your membership with Greenredeem. This Privacy Policy was last updated on the date indicated below. We encourage you to periodically review this Privacy Policy to stay informed about how we are helping to protect the PII we receive from you. Your continued use of this App or participation in any of the programmes Greenredeem offers shall constitute your agreement to this Privacy Policy and any of its updates.
